Construction Administrator

Description:

Architecture Incorporated, with offices in Sioux Falls and Rapid City, is the largest architectural/interior design firm in South Dakota. We are looking for an individual with a minimum of five years of commercial construction experience to join our team in Sioux Falls, SD as a Construction Administrator.  If you have a positive attitude, are highly motivated with a customer concentric mindset, and are willing to relocate to Sioux Falls, SD, we would love to hear from you.

Responsibilities include, but are not limited to:

  • Assists Project Architect in preparing specifications to complement construction documents for projects.
  • Prepare general correspondence such as meeting minutes, respond to RFI’s, RFP’s, Field Reports and process Change Orders.
  • Attend pre-bid and bid Lettings.
  • Review and certify contractor’s application for payment, review material test reports.
  • Review and discuss options and make recommendations to owners when changes are requested.
  • Perform site visits, participate in construction progress meetings, and prepare reports for construction projects that are in progress.
  • Provide substantial and final completion services.

 Requirements:

The position requires someone who can effectively juggle a variety of diverse responsibilities, with a strong emphasis on organization and follow-up skills. It also requires an ability to collaborate in a team environment as well as work independently with minimal supervision. This individual must possess good interpersonal skills (listening, diplomacy, responsiveness) and should be able to communicate professionally with all levels of management when working with clients, contractors, and consultants.   This individual must also possess the ability to use good judgment in resolving construction conflicts on behalf of the Firm.  Must have the ability to manage construction quality based on knowledge of best practices.  They must also be self-motivated and maintain strict confidentiality in all matters. 

Education:

Bachelor's or Associate's degree from an accredited school in Construction Administration/Management or equivalent combination of education and commercial construction experience.

Experience:

  • 5+ years of experience in construction or construction-related field supervising commercial construction projects.
  • Knowledge and proper application of building codes.
  • Strong proficiency in Microsoft Word and Excel
  • Ability to exercise independent judgment and diplomacy.
  • Excellent writing and communication skills.
  • CSI CDT and/or CCCA credentials a plus but not required.

This person will assist in all phases of a project and has interaction with the owner/client and consultants. While prior experience is preferred, it is not required.  Position is in our Rapid City, SD office.  Salary TBD based on experience/qualifications.

JOB DESCRIPTION

Position would entail:

  • Familiarity with Revit, coordinating with owner, contractors and consultants.
  • Manage change orders, RFP’s, RFI’s, addendums and notifications, develop schedules, write meeting minutes and observations reports.  Lots of other stuff.
  • Lead projects, pre-bid meetings, pre-construction meetings, and progress meetings.
  • Some kind of miscellaneous talent.  Could be ping-pong, juggling, etc.

QUALIFICATIONS:

  •  Degree in Drafting, Construction or Architecture preferred (not required).
  •  1-5 years experience in the construction industry preferred.
  •  Must be dependable, detail-oriented, consistent, diligent, and fun.

About:

We do architecture.  We have 20 people and one wiener dog, but he doesn’t get healthcare.  We’re a 97% design-focused shop.  And maybe a 10% focused on people/relationships. And the rest on culture. Our project types include; K-12, Higher Ed, Commercial.  We don’t do single family residential.  We barely do multi-family.  Not that we’re not into families.  We’re pro-family.  We all have them.  Mostly we like civic and educational projects of any kind.  If it’s a good client that appreciates architecture and wants quality and creative solutions, then we’ll sell the ’65 Ford Galaxie and go for their vision 100%.  A lot of shops do good design.  But we’re in there too.  We also try to deliver.  I’m mean really bring the heat.

The preferred work location is Pierre, but other work locations will be considered and will be discussed with the selected applicant. Engineer/Architectural classification will be dependent upon work experience. This position is expected to perform professional-level engineering/architectural work of moderate scope and moderate complexity. This role is for a well-grounded professional who has a solid working knowledge of engineering principles and practices. Work is performed independently and in accordance with defined policies, procedures, practices, and standards. The successful applicant must establish effective working relationships with co-workers, consultants, contractors, and other agency personnel.

This position will design, review, recommend for approval plans and specifications; and supervise building projects to ensure that plans and specifications comply with generally accepted engineering practices and state laws and that construction projects are built according to plans and specifications. They will also coordinate work with other engineers and various stakeholders to facilitate participation in the development of a project design. The incumbent will act as project manager on the projects assigned to them; this includes generating necessary paperwork for advertisements, solicitations, pay applications, performing inspections, leading review meetings, keeping affected personnel informed, manage bid openings, and project closeouts. 

Selected applicant will undertake required Federal and State training to obtain certifications or more advanced knowledge.

This position will generally work five, 8-hour days, 8:00 a.m. to 5:00 p.m., Monday through Friday. Alternate work schedules may be considered. Work schedules may also vary due to emergency situations and project schedules. Work is completed in a typical office environment as well as on construction sites. In-state travel is required for site investigations and construction administration, with occasional overnight stays as necessary for long-distance and/or multi-day work trips. Must have a valid driver’s license.

Licenses and Certifications:

  •     E.I.T in the State of South Dakota or Professional Engineer in the State of South Dakota;
  •     Licensed Architect in the State of South Dakota, Architectural Intern in the State of South Dakota or Architectural Graduate.

Stone Group Architects is currently seeking an Architect / Project Manager with 5-10 years’ experience to join our team. As a Project Manager, you and the Principal Architect are responsible for project financial performance and team communication.  Capable of managing multiple projects during all phases of a project until completion and direct employees and consultants at all levels to ensure that proper steps and procedures are taken and that the work is completed as planned, budgeted, scheduled and in conformance with design intent.  This position will be responsible for leading the project team with the clear goal of providing the highest possible quality of service and client satisfaction along with quality architecture. The Project Manager is to maintain and monitor project profitability and schedule adherence, coordinate and manage project communications, contracts, budgets and schedules.

We have positions to fill in our Sioux Falls, SD, Sioux City, IA, Moorhead, MN and Wayzata, MN locations.  This position does offer partnership potential.

Responsibilities

Leadership

  • Fosters and maintains a collaborative professional working relationship with the Leadership Team, owner, consultants, and suppliers, contractors and sub-contractors.
  • Participates on and/or leads multiple projects as a Project Manager-Project Architect.
  • Assists senior management in developing and validating project scope and fee, budget, and scope of services during the marketing and contract development process and use past experiences to guide the process.
  • Assists in preparing project presentations.  May participate and/or lead client presentations.
  • Assists senior management in the preparation and execution of consultant contracts.
  • Assists with negotiating fees and contracts for services.
  • Incorporates Sustainable Design solutions into projects.
  • Takes personal responsibility for fostering a green workplace through sustainable work practices.
  • Help to guide the selection process for consultant selection on projects

Management

  • Works with Project Architect to avoid or eliminate conflicts in schedule due to the changes in various projects.
  • Plans, organizes and manages project.  Provides on-going communication through team meetings/minutes/up-date memos to project team.
  • Communicates with consultants, contractors, sub-consultants and other disciplines to ensure effective communication.
  • Monitors construction administration during the construction phase

Client Interface

  • Responsible for maintaining client relationships throughout project.  Keeps client apprised of project progress on regular basis. Initiates and maintains contact with other key project individuals for clarification, coordination and negotiation of critical issues. 
  • Consults with client to determine function and spatial requirements and prepares information regarding design, specifications, materials, color, equipment, estimated costs, and construction time.  Plans layouts of projects and integrates engineering elements into unified design for client review and approval.

Business Development

  • Participates in developing annual business plan for the business unit.
  • Identifies new business opportunities while developing current client relationships.  Listens for and seek out new projects which may exist or are being formulated. 
  • Participates in selected marketing and business development opportunities.
  • Assists in development of fee proposals for marketing proposals.

Staff Development

  • Provides leadership including professional development coaching and mentoring staff.
  • Defines staff requirements for projects as needed or directed.  Makes recommendations to senior management for staff promotions/terminations for project team and Architecture discipline.  May participate in interviews and recruiting of professional staff.

Required Skills

  • Strong knowledge of design, trends, construction methodology, material application, and manufacturer-supplier appropriateness. 
  • Advanced knowledge of architectural building systems.
  • Thorough understanding of project work plans, schedules, staffing, and budgets.
  • Thorough knowledge of Building Information Modeling (BIM). (REVIT)
  • Advanced knowledge of sustainability, integrated design and LEED guidelines.   
  • Possess strong hand and advanced CAD drafting skills.
  • Proficiency in Microsoft Office Suite.
  • Proficiency in Photoshop, Illustrator, Sketchup, and InDesign graphic software preferred.
  • Proficiency in Revit required.
  • Ability to communicate both verbally and in writing; Ability to work in team environment.
  • Ability to effectively meet deadlines.

Qualifications

  • Bachelor’s degree in architecture or equivalent in education or experience required.  Master’s degree preferred. 
  • Minimum of 5 years’ experience in architectural practice with management experience in all phases of projects through post-occupancy.
  • Preferred experience with VA and healthcare
  • Registration as an Architect in a US state and/or jurisdiction recognized by NCARB preferred.
  • LEED credential required within 12 months of employment

Stone Group Architects - Specification Writer/Estimator

Sioux Falls, S.D., Sioux City, Iowa; Wayzata, Minn.; Moorhead, Minn.

Stone Group Architects is currently seeking a Specification Writer/Estimator with a minimum of 2 years to serve as a technical liaison to project teams, coordinating project specification deliverables and design guidelines throughout all phases of project design.  This position will also define and provide quality assurance into construction and project documents. 

This position can be located out of any of our SGA office locations: Sioux Falls, SD, Sioux City, IA, Wayzata, MN, or Moorhead, MN.

PROFESSIONAL QUALIFICATIONS:

  • Architectural Bachelor’s degree from an accredited university or engineering or equivalent in education or experience preferred
  • Professional architectural registration preferred
  • Proficiency in MasterSpec or BSD SpecLink
  • 2-5 years of professional experience including: 
    • Building technology
    • Code knowledge
    • Product research and specification

KNOWLEDGE, SKILLS AND ABILITIES:  

  • Strong knowledge of:
    • architectural design, engineering coordination, design trends, products, construction methodology, building systems, material application, and manufacturer-supplier appropriateness 
    • construction procedures and schedules
    • building envelope components, interior plans and material requirements of all building and facility types
    • building codes and ability to research and apply/incorporate into technical documents
    • sustainability, integrated design and LEED guidelines
  • Architectural specification writing experience preferred. VA or Federal specification experience preferred.
  • Proficiency in MasterSpec or BSD SpecLink preferred, but not required.
  • Bluebeam Revu and Revit computer software experience beneficial 
  • Proficiency in MS Office, including Word, Excel and Outlook

DUTIES AND RESPONSIBILITIES: include the following (other duties may be assigned)

  • Reviews drawings and other project information to write and edit specifications for projects and coordinates compliance with project requirements, institutional guidelines, technical conditions, acceptable standards, and existing laws, rules, regulations and codes.
  • Understands the project design requirements and translates those requirements into materials, methods, equipment, procedures, installation, and certification testing necessary to provide the narrative descriptions which are used to procure, install and erect building components. 
  • Prepare and review the procurement and contracting requirements, including the Division 1 General Requirement sections. 
  • Performs product research; assists project designers with material selection and system research. 
  • Provides quality management reviews and technical advice in design development through construction document phases. 
  • Acts as a risk management resource to other project leaders. 
  • Develops and maintains relationships with vendors. 
  • Provide development and improvement of Master Specifications including specialized content for project type or regional conditions as well as sustainable content 
  • Assists project managers with review and coordination of project agreements relative to professional service and general condition issues. 
  • Assists project architects and project designers with material and system constructability analysis. 
  • Assists project architects with shop drawing and product substitution review. 
  • Coordinates and reviews consultant technical specifications
  • Participates in project life cycle cost analysis 
  • Maintains technical resource library and list of technical resource contacts. 
  • Archives technical files to ensure consistent project milestone documentation. 
  • May conduct internal specifications training. 
  • Participates in developing and improving document standards and best practice procedures.
